Ensure Your Business Meetings are Always Productive

Meetings. Love them or hate them, they’re an integral part of running a business and a key method of communication, brainstorming, solving problems and making decisions within the workplace. Despite this, without proper planning and consideration, meetings can often be unproductive and a waste of precious time… With that in mind, we’ve put together a list of tips to make sure all of your meetings, no matter how big or small, are as productive and efficient as can be.

Aldgate Meeting Room 2

1.     Ask yourself “is this meeting completely necessary?”

For many of us, meetings of all kinds are a daily occurrence and can wipe-out hours of the working day. Before sending out an invitation, it’s important to question if time could be saved and the questions could be answered much more conveniently over the phone or by email. We’ve all been present in meetings that could have been an email at least once and know how frustrating this can be.

2.     Always prepare an agenda.

Preparing a clear agenda prior to your meeting will set out everything that needs to be achieved in the time and ensure that all topics are covered. Think of it as a check-list that can be prioritised in order of urgency and guides your discussions. Sending a copy of the agenda to attendees ahead of the meeting lets everyone know what is expected and will help them to prepare, arriving ready for a productive discussion.

3.     Sometimes less is more.

Does everyone on the invite list really need to be there? There’s nothing worse than being stuck in a meeting and wondering why you’re there, equally when you’re in an overrunning meeting because there are too many people giving opinions. As the old saying goes, “too many cooks spoil the broth” so when sending out an invite, only select people that will play a vital part in the getting through the agenda.

4.     Take notes.

It’s practically impossible to remember every point of discussion as little as an hour after the meeting, let alone a week (and seven other meetings) later. Taking down accurate and well-written notes will save time and prevent misunderstandings, and your future self will thank you for it.

5.     When hosting, always early to set up.

It’s always when you’re in front of an audience or under time constraints that technology seems to fail, leaving you feeling awkward and under pressure knowing that everyone is waiting for you. Arriving fifteen minutes early will allow plenty of time to connect your laptop to the dreaded projector and call for assistance before everyone else arrives.

6.     Close the meeting with a clear plan.

Often in long meetings, there are multiple topics discussed and avenues explored that might leave attendees confused or unclear on how to progress next steps. Each meeting should end with a plan of action to move forward, followed by circulation of meeting notes and a written reminder of key action points – this way, everybody is on the same page and can get straight down to business.

These 3 Hobbies Will Make You Smarter

Intelligence isn’t an easy thing to acquire. It’s undeniable that some of us are smarter than others, and whether this is due to genetics, circumstances or style of living, it’s certainly something we naturally want to improve. Here at Targetspace, we know that building your intelligence can be imperative towards being successful in whatever role you take on, so here are some methods that have been proven to help bolster our brainwaves!

001 Nick Hillier Qsbtywxjzuu Unsplash

1.     Read, and read a lot

One sure fire way to build our crystallized intelligence is through acquiring new knowledge from books. While non-fiction books may be better in this regard, keeping the brain active through regular reading of both fiction and non-fiction has been associated with greater brain capacity and improved memory recall. The more you read, the smarter you get!

2.     Become more multi-cultural

Travel: Travelling and taking in different cultures helps to expand our somewhat limited stance of reality, developing an understanding for the unique points of view from these cultures to expand and build an understanding greater than our own. Not to mention that surrounding yourself with a completely novel language and customs forces our brain to adjust to a new, challenging environment.

Learn a language: In the age of language-learning apps such as Duolingo and Lingvist, it has never been easier to regulate and steadily improve our language capabilities from our native tongue. Not only does this allow us to experience a different culture and communicate with our foreign peers, but has been associated with increasing the size of the parts of the brain associated with spatial navigation and learning new information.

3.     Exercise the body, and the mind

Stay active: There have been numerous studies relating to the benefit of exercise on the mind in general. One study linked certain hormones found in the blood that are found within individuals participating in high levels of aerobic fitness, and positive effects in memory recall and function. Another study showed an increase in brain-derived neurotrophic factor (BDNF) within those who perform endurance exercises, such as jogging or cycling. This has been known to stimulate neurogenesis – the growth of new neurons – which makes us smarter.

Stay calm: Exercising the body is important but exercising the mind can be crucial towards the healthy development and training of our brains. Meditation has shown to decrease stress, something that has been proven to negatively affect our cognitive performance and memory recall.

Do you know what’s really smart? Securing a flexible, serviced office space in the heart of the City of London (One Aldgate, 60 New Broad Street) or Midtown (Procter Street). Book meeting rooms on a full or half-day basis or move within a moment’s notice to an office built and maintained for you. To enquire into our serviced offices, virtual office and meeting room locations, contact us directly on 020 3102 4000 or by emailing enquiries@targetspace.co.uk. Five Simple Life Hacks to Enjoy Work More

Work is a major part of our lives, often taking up more hours of the day than our own friends, families and relationships. It’s important we enjoy the time we spend at work, so we’ve put together a few helpful tips to keep the glass half-full rather than empty.

001 Nordwood Themes 166423 Unsplash

1.    Adjust your attitude.

Always start the day with positivity. Try to resist looking at your phone and take a moment to meditate. Focus on your breathing and let your thoughts wander to things you are grateful and looking forward to. Then make a mental list of what your top priorities for the day are. While you eat a healthy breakfast, why not read some inspirational or motivational quotes to better prepare yourself for the day?

2.    Bring life into your space.

Being sat at your desk for hours on end can sometimes be demotivating. Adding a few small plants to your workspace is known to benefit productivity. We all have an innate, human desire to connect with Earth’s nature, which is why having even just one green plant on the desk can help calm, relax and lift your mood overall.

3.    Distance yourself from negativity.

Office politics and gossip can often be toxic in the work place and is not something that you want to be taking up your time. Don’t let bad thoughts consume your energy and take away focus from your true priorities. At the same time, don’t shy away from your colleagues. Promote a positive team working environment by making yourself approachable when you have time and reaching out for help or advice. Humour is usually effective in turning around negativity!

4.    Don’t waste time on distractions.

When you find it difficult to focus on your task at hand try to remove any major distractions like your phone, music with lyrics or other distracting sounds. Keep your personal phone use to a minimum or don’t use it at all.

Another way to get through your workload efficiently is to plan out and prioritise parts of your day. As mentioned before, it’s very helpful to prepare your mind at the beginning of the day to categorise what your top priorities for the day are.

If your start feeling sluggish on a big task or problem, it’s usually best to take a break and come back with fresh eyes. Your body needs time regenerate and refresh. So, a good habit to get into is leaving work on time. Regularly staying late is tiring and will make work feel like a chore and ultimately drain your brain power.

5.    Keep work at work

A key to enjoying work more is to not let it creep into your personal life. Generally, we spend a third of our day in the workplace. If you let work and work-related thoughts consume more than half your day, you’re probably lacking in a healthy private social life. Family and friends are worth investing your time in because they are the ones that will be with you no matter what job you have. You also need to allocate time for yourself, to unwind and relax. You deserve to take it easy after a day of work and spend time on activities or hobbies you enjoy. This is all beneficial for keeping a good work life balance.

Speaking of enjoying work… your office location will also play a huge part in this. We offer a considered selection of serviced offices in prestigious areas of London. One Aldgate and 60 New Broad Street are located in the City of London, offering excellent transport links via Fenchurch Street and Liverpool Street stations, as well as a surplus of tube and bus routes. Central serviced office space is available on Procter Street, neighbouring both Holborn and Tottenham Court Road stations. Each of our serviced office locations offer a variety of meeting rooms in various sizes, available to hire on a half or full day rate, or on a room only basis.

3 Crucial Tips to Stay Alert in Meetings

We’ve all been there. It’s been a long day and you’re in a time-consuming meeting, and you start to lose focus, maybe just rest your eyes a bit… before you know it, you’ve snapped out of it and everyone’s looking at you for an answer to a question you didn’t hear. Following on from our infographic a few months back, we thought we could enlighten you on a few tips and tricks to stay alert and productive in meetings!

001 David Travis 547046 Unsplash

  1.     Stay active and get some fresh air

Being stuck in a warm, stuffy room can make it easy to doze off. If there’s a window in the meeting room, crack it open to allow for some fresh air to circulate. If this isn’t possible or you still find yourself drifting away, make an excuse to leave the room for a bit and stretch your legs. Better yet, involving regular exercise into your routine has been proven to improve cognitive function and wellbeing. You’d be surprised how much help simply not being sat down does for your attention span!

2.     Stay full of food (and caffeine)

Stomach grumbles are not a great icebreaker. It’s important to avoid hunger when you’re heading into a long meeting, so make sure to keep your stomach full of healthy food before attending! Don’t go overboard and stuff your face, as this can cause the same issues with fatigue as it would being too tired! Dehydration can be one of the leading causes for lack of focus and memory function, so make sure to quench that thirst with a pint of water before, and during the meeting. Psychology studies have shown that eating blueberries, avocados and leafy greens (mainly spinach and kale) positively affect your focus and attention. On the other hand, try and avoid saturated fats and refined carbohydrates (put that cake down), fruit juices and cured meats to fuel your brain the right way.

3.     Stay Involved

While you’re in the meeting, the best thing you can do for your focus (and your benefit) is to stay involved. While it seems obvious, taking notes and repeating these notes back to yourself during and after the meeting has a huge effect on memory retention and a proven and efficient method to organise and memorise the crucial parts of your meeting. Contribution to the meeting, alongside these notes, will also work to keep you more interested, meaning that two-hour meeting will fly by. Stay involved, stay informed!

Why You Should Choose a Serviced Office

Moving into a new workspace can be a daunting task for any business. Whether you’re upscaling or prepping for your first move, at some stage you will have to decide on whether or not to choose a serviced office space. As a company that specialises in fully furnished and serviced office spaces, we’d like to talk about the key reasons you should choose a serviced office space for your business.

001 D2i 0916 Lion Court 029

1.  Convenience

Office furniture can be expensive!
Did you know that the average ergonomic office chair can set your company back £150-£300 per chair? We believe the process of moving into a new office is stressful enough, without the additional expense of furniture.

The ideal pre-made environment for your business to operate
In a serviced office, furniture comes readily installed as part of your rental package. In this purpose-built professional office environment, the move-in process is simplified by accounting for everything you need to operate a business at the highest level.

Unbranded space to make your own
Unbranded office space leaves room for creativity and personalisation within the workplace, without the inconvenient and arduous process of ordering all of the necessities before move-in day.

2.  Flexibility

Easy office transition and set-up
A serviced London office offers a flexible solution to your business’ needs and goals. Set-up time is eliminated by the existence of tailored, pre-fit workspaces as previously mentioned, allowing for an easier transition into your ideal working environment.

Serviced offices are ideal for both short- and long-term rentals
Tenants can transition into a serviced office for a short-term transition period of a few months, or alternatively stay for multiple years.

Room to expand when you’re ready
The beauty of our approach is that it also gives tenants the ability to upgrade their serviced office without even moving buildings. With a range of serviced offices available within both the City (near Aldgate and Liverpool Street) of London and central (near Holborn and Tottenham Court Road) locations, it has never been easier to rescale your business and your office space.

3.  Services

One of the biggest benefits of a serviced office is – somewhat unsurprisingly – it’s services. Targetspace’s range of London offices offer a complete package for any tenant’s needs.

A professional building management team is already in place
Our professionally managed receptionists, centre staff and support teams are available from 8:30am-6pm, Monday to Friday for all of our serviced offices. This team also encompasses security, maintenance, office cleaning and rubbish collection services as part of your rent. We can handle managing your building, you can handle managing your business.

A serviced environment for your business to grow
Our offices come equipped with Kitchen areas, stocked with complimentary tea and coffee for all occupiers. Utilities, such as heating, air conditioning, lighting, water and use of in-building shower are also provided as standard. Further to this, our selection of meeting rooms available within the London office spaces are available for tenants, or to hire out on an hourly, half-day or full-day basis as you see fit.

If that wasn’t good enough…

3 Apps to Help Boost your Productivity

Staying productive is becoming an increasingly difficult task. With smartphones providing a constant distraction from work, we thought we’d give you some advice on mobile apps that were built to boost your productivity.

001 Rawpixel 658245 Unsplash

1. Forest

We’re all guilty of glancing at our phones every now and again, but sometimes you need to set aside time to focus. “Forest” helps you become more productive by visualising how much time you’ve saved away from your phone. How? The clue’s in the name – by planting virtual trees. Users can choose a tree to plant, set the time they intend to focus for and plant their tree. They can set a focus time from 10 minutes to two hours, which will affect the size of your virtual tree. If you leave the app once the tree has been planted, it will die. At the end of the day, each tree will build a forest representing your focused time in a more visually stimulating manner. This can be adjusted to view daily, weekly, monthly and yearly forests. What’s more, a partnership with “Trees for the future” means that users can spend in-app virtual currency gained from not using their phone to plant real trees, which is always a plus.

2. Evernote

If you’re the kind of person that needs more organisation in their life, Evernote is the app for you. The app is capable of adding typed or handwritten notes, to-do’s, photos, images, web pages or audio that is searchable within the app. Notebooks, organisers and planners can be created, and all of this can be synced between devices with both Desktop and mobile app versions. In essence, you can take note of anything and store it in a manageable way, and even share particular documents from one user to another. The free version has most of the app’s main functionality, but the £4.99 per month premium membership offers a 10 GB monthly upload limit compared to the standard 60 MB. Furthermore, the premium plan allows users to link their notes to Google Drive, Outlook, Slack and Microsoft Teams.

3. Blinkist

We all know we should read more, but sometimes there’s not enough time in the day. In a world that has made us attached to our phones, the key to boosting our productivity could well be bolstering our existing knowledge. Blinkist is a subscription app that offers over 2,500 book titles from best-selling authors, all summarised into brief, 15-minute snippets. Users can sign up to a free 7-day trial to experience the key summary text and one free “daily pick” book per day. The premium version of the app allows you to listen along to each of the book synopses, unlimited access, offline libraries as well as the ability to highlight particular ideas and sync them with your Evernote. However, this will run you back from $7.50-$14.99 monthly depending on your choice of subscription.

Now you’ve organised your life, why not organise your ideal workplace? Targetspace have three prime, serviced offices available for your business needs. One Aldgate and 60 New Broad Street are located in the City of London, offering excellent transport links via Fenchurch Street and Liverpool Street stations, as well as a surplus of tube and bus routes. Our central London office, at 25 Procter Street Holborn, neighbours both Holborn and Tottenham Court Road stations. Each of our serviced office locations offer a variety of meeting rooms in various sizes, available to hire on a half or full day rate, or on a room only basis.

Career-boosting New Years Resolutions for 2019

Happy New Year! Here at Targetspace we’re always looking for ways we can better ourselves at work and we know our clients do the same. With January being all about making fresh starts and setting new goals, we thought we’d share the 2019 resolutions we’ll be trying to stick to this year:

001 Danielle Macinnes 222441 Unsplash

1.     Make time for reading

With the overreliance on smartphones and the wealth of transformative books available to progress our knowledge and mindset, we’re making a big effort to step back from social media and get stuck into more books. Fiction books are a good way to escape from the everyday stresses of work, and a proven way to switch-off but there are many insightful books that can help us to grow at work – not to mention the added benefits of cognitive stimulation, improved memory and writing skills that come along with increased reading.

Here are a few of the business books on our list for this year:

2.     Practice a better work-life balance

Shown to benefit work engagement and lessen psychological strain, a healthy work-life and work-family balance is essential to stop yourself from burning out in your career. For most of us, we aren’t in the position to have flexible work arrangements, but making more use out of our free time can be essential to being more productive at work. Try to plan meaningful activities and excursions around when you are free to make sure you can ‘switch-off’ from your career duties and avoid carrying work stress back home.

3.     Network more

In the new age of social media, LinkedIn has emerged as a powerful tool to grow your business and contacts. You should treat your profile as a serious networking platform, making sure it looks professional, uses relevant keywords to fill in the dreaded ‘blank gaps’ and appeals to like-minded individuals. Staying active, making sure to share both relevant native and external articles to your profile will help find those with similar interests. Aim for 500+ connections, but make sure these connections are relevant and qualitative is far more important than simply adding random users to boost your numbers. Attaching a small personalised message as to why you are connecting, such as “I really enjoyed your article on Organic vs. Paid Search methods and would love to connect” can go a long way in building strong networking connections.

If you’re interested in relocating your business in 2019, we have two excellent serviced office locations available to let in the City of London – One Aldgate and 60 New Broad Street. Both properties have superb transport links to Fenchurch Street and Liverpool Street stations, as well as the many tube and bus routes you would expect from the City of London. Our serviced offices available on Procter Street offer a more central location, close to both Holborn and Tottenham Court Road stations. We also have range of meeting rooms in a variety of sizes that sit within each of our serviced office locations, available to hire on a half or full day rate or a room only basis.

To enquire about any of our serviced offices, virtual office or meeting room locations, contact us now by calling 020 3102 4000, emailing enquiries@targetspace.co.uk or filling in our quick and easy form.

Tips for switching off over Christmas

Whether you’re taking two or ten days off over Christmas, it’s super important to use this time to properly disconnect from work. Christmas is for spending time with loved ones and enjoying yourself, not thinking about work. We’re all guilty of checking emails, answering work calls and even doing pieces of work whilst on holiday but many people are unaware of the importance of switching off. Your holiday allowance is there for a reason and not making the most of it can lead to increased stress and anxiety.

001 Kira Auf Der Heide 475623 Unsplash

Here at Targetspace, we’re very much looking forward to a few well-deserved days off to spend quality time with friends and family, not to mention all the eating and drinking in excess that comes with it. Here are a few of our tips on how to switch off from work over the Christmas period:

1. Step away from your devices.

Technology is one of the biggest distractions in all of our lives, right? It’s so easy to get lost in our phones or scrolling on social media that we don’t realise how much time has been wasted. Similarly, when work emails are connected to our personal phones or computers, it’s hard not to look at them during downtime. Our suggestion: disconnect your work mailbox from your personal devices so that you don’t get tempting notifications and only check if absolutely necessary. The only reason you should be getting your phone out is for photographs!

2. Be present at gatherings.

For many of us, Christmas is one of the only times entire families can get together. Be present, not just physically but mentally too. Really focus on the people you’re with and engage in meaningful conversations instead of worrying about what’s going on in the office. Be fully in the moment, enjoying the company of the people around you at this special time of year.

3. Relax, take it easy.

After a long and hard working year, the Christmas period is your chance to completely relax and recharge your batteries for the New Year. Regardless of your industry, job role or working hours, everybody needs a break to avoid burning out. Our biggest tip would be to tie up all of your loose ends before Christmas Eve so that there is nothing to distract you from relaxing and enjoying the festivities.

From all of us at Targetspace, we wish you a very Merry Christmas and a Happy New Year. If you’re looking to relocate your business in 2019, we have two superb serviced office space locations in the City of London, one in Aldgate and the other on New Broad Street. Both have excellent transport links with Fenchurch Street and Liverpool Street mainline stations in close walking distance, as well as plenty of tube and bus stations. If you’re looking for opportunities a bit more central, we have serviced offices in Holborn, too, located on Procter Street, just a short distance from prime locations such as Covent Garden and Tottenham Court Road.

5 Simple Ways to ‘Go Green’ at Work

With everything we see and hear in the news about how our everyday habits and lifestyle is affecting the planet, it’s imperative that we make a conscious effort to lessen the negative impact we create – not just at home, but in our workplace too. There are many ways (big and small) in which we can do our bit; here are a few of our suggestions.

001 42527711 407540583110256 8268863066247004160 O

Ask yourself: “Do I really need to print that?”

The average office worker uses 10,000 sheets of copy paper each year, a shocking statistic but when you think about how many times you’ve printed something wrong or just left documents in the printer, it starts to add up. Printing documents is often unavoidable but there are many things you can do to make it a lot less wasteful. These include printing double-sided, sharing copies to avoid multiple prints, and only printing when completely necessary. How about inserting a polite note inside your email footer to gently remind recipients not to print?

Say no to single-use plastic.

Reducing our plastic usage requires only a few simple lifestyle changes, yet the effect upon our oceans and landfills is huge (and can even save you money!) The management and customer service staff at all Targetspace serviced office locations have all made a pledge to use reusable water bottles and coffee cups, to remember to bring their own shopping/carrier bags and to always keep a metal straw handy. The kitchens in all of our office buildings are fully stocked with complimentary tea, coffee, milk and sugar and our Vivreau filtered water system provides unlimited still and sparkling water – there is no need for our clients to buy hot drinks and bottled water outside.

Opt for eco-friendly office supplies.

When making your next stationery order, have a look around for products that are made from recycled and environmentally-friendly materials. You can readily purchase pens, pencils and notebooks that are made from recycled materials, even paper for your printer that has been given a new lease of life. So many plastic pens end up in landfills and oceans; choosing a biodegradable or recyclable alternative is a simple way to help combat this problem.

Bring the outside in.

One of the benefits of Targetspace serviced offices is that they are unbranded, allowing our clients to personalise and make the space their own. Why not add some plants to your workspace? Plants help to remove the pollutants created by your computer and help to cool the air around your desk. Indoor plants can help to remove around 10% of carbon dioxide in offices, as well as making it look nice too. Just make sure you remember to water them!

Switch it off.

With electronic equipment such a big part of our everyday lives – especially at work – it’s easy to forget just how much we use. On occasion, we’re all guilty of leaving the lights on, the air-conditioning pumping or the PC monitors on standby when we go home. It’s important to get into the habit of turning electrical items off when they’re not in use. Not only will you be reducing your company’s C02 emissions and fuel consumption, but you’ll also save your business money in the long run.
